A password standard fails when every change lands on the same Monday. Staff arrive to locked accounts, managers invent exceptions on sticky notes, and the written policy becomes decoration.

In Gauteng workplaces we usually recommend three phases. First, publish the standard and run manager clinics while old passwords still work. Second, change shared terminals and high-risk accounts on a quiet midweek day. Third, retire remaining exceptions with dated reminders — not a surprise cut-off at midnight.

Communication beats clever wording. A one-page timeline on the noticeboard, plus a five-minute standup note from supervisors, prevents more confusion than a long email from IT alone.

If your sites run shifts, schedule at least one briefing outside daytime hours. Night teams deserve the same clarity as the people who drafted the policy.
